How to Add a New Resource - Files, Text, Links, Cross-Posts, & Videos

  1. Navigate to the "Resources" Management Console (See "How to Navigate to the 'Resources' Console").
  2. Click on the title of the folder or sub-folder you'd like your resource to appear in, or make a new folder (See "How to Add a Resource Folder"). 
    • Note:  Make sure to click the name of the folder, not the numbers below.
  3. In the folder screen, you'll see a list of all of the resources currently posted in that folder.
      

  4. To add a new Resource, click on the "New ____" button that corresponds to the type of resource you want to post


    • New File (Word documents, Adobe PDF files, Excel spreadsheets, etc.) -- Click on "New File"
    • New Text (Announcements, etc.) - Click on "New Text"
    • New Links (URLs) - Click on "New Link"
    • New Cross-Posts (Links, Documents, etc, that are already posted on Workforce3One or another Community) - Click on "New Link"
    • New Videos (YouTube, etc.) - Click on "New WebEmbed"
  5. Once you click on the "New __" button, the new resource entry screen will appear.  |


  6. On the "New Resource" entry screen, you should:
    • Add your Resource:
      • New File (Word documents, Adobe PDF files, Excel spreadsheets, etc.) -- Click on the "Browse" button to locate and upload your file. 
      • New Text (Announcements, etc.) - Paste or type your text into the "Text Content" box.  If you are cutting and pasting from a Word document, be sure to save the document as plaintext before copying to the CoP. 
      • New Links (URLs) - Paste or type your URL into the "Web Address" box
      • New Cross-Posts (Links, Documents, etc, that are already posted on Workforce3One or another Community) - Paste or type the source's original URL into the "Web Address" box
      • New Videos (YouTube, etc.) - Paste your embed code into the "Embed Code" box.  You can copy the embed code for a video already uploaded on a video-sharing website such as YouTube by clicking on the "Embed" button below the video playback screen on the YouTube website.  If you have a new video file, first upload it to YouTube and then copy the embed code to place it on the CoP. 
    • Type a Title for your new resource in the "Title" box
    • Type a Description for your new resource in the "Description" box
      • Note:   If your resource is a cross-post, you may wish to copy the resource description from its original source (i.e. Workforce3One).
    • Skip Alias
    • Type Keywords for your new resource in the "Keywords" box.  Keywords are simply one-word terms that describe what will be in it.  If you need to use a two-word phrase, be sure to put it in quotes ("...") so the words link together.
    • Change the Created On date, if desired. 
      • Note:  You can future-date your resource to automatically appear at any time in the future, in order to stagger your posts so you have new content appearing every day.
    • Click on the appropriate Tags in the "Tags" box on the right.  Tags are similar to keywords, in that they describe what kind of content will be in this resource.  However, tags are more powerful than keywords and help to identify your resources by category or by topic in the website’s "Popular Topics" widget, so they are very important to add. 
      • Note:  If you need to tag your resource with a tag name that is not currently there, please contact Maher & Maher with the requested new tag name.
    • Change the Resource control buttons on the bottom-right of the screen
       

      • ENABLED = allows your resource to be enabled (active) or disabled (inactive).  "Yes" means the resource is active for viewing by the public, "No" means it's not.
      • VISIBLE = allows your resource to be listed on the CoP so users can find it.  "Yes" means users can find and navigate to your resource from the CoP, "No" means your resource can be viewed only by a private URL.
        • Note:  You may wish to use this feature to post resources that are pending approval.  You can post the resource as invisible on the CoP, and send its private URL to an approver.  Once the resource is approved, you can simply make it visible to all. 
      • PUBLIC ACCESS = allows your resource to be accessible without logging in to Workforce3One.  "Yes" means the resource is accessible without logging in to Workforce3One, "No" means users have to login to download and view the resource.
      • SEARCHABLE = allows your resource to appear in search engine results on this CoP.  "Yes" means the resource can be found with the site’s search engine, "No" means it can’t.  This should always be left at "Yes."
      • TRASHED = sends your entire post to the recycle bin.  "Yes" means the post is in the recycle bin, but you can still recover it in the future if you need to.  This is not a permanent delete.  To permanently delete a resource, see "How to Edit an Existing Resource."
      • FEATURED = sends your resource to the top of the search results in keyword or tag searches, and also on any “Featured” tabs on the homepage.  "Yes" means the resource will show up at the top of the lists; "No" is the default.
      • COMMENTS = allows you to add a comment box under the resource on the site that users can use to comment on the resource's usefulness, etc. "Yes" means there will be a comment box; "No" is the default.   For blogs, you should always set comments to "Yes."
    • Add a Thumbnail picture to your resource.  If you don't add a thumbnail, the default is the red W3 symbol for Workforce3One.  Click the "Upload an Image" link in the bottom-right corner of the screen, browse for your image, then click "Upload Image Now."  If you would like to re-use an image you’ve used previously, click "Choose from Archive" and select the image from the pop-up screen that appears.  
       

  7. When you're all done uploading and changing the properties of your resource, click the "Save" button in the top-left corner of the screen.  Your resource will now appear in the list of available resources in the Resource folder you created it in.

     
    • Note:  To see what your resource will look like "live" on the site, click the numbers below the resource name in the list of available resources.   You can also use this screen to copy the resource's "live" URL.
    • Note:  It takes approximately one hour for changes made on the console to appear on the live site.  If you need your changes to appear sooner, please contact Maher & Maher.
